LAB ORDER PROTOCOL

• Plan ahead and anticipate what you will need before you run out, preferably when stock is at 30%.

• Orders are placed twice a week, Monday and Thursday. Submit requests by 9am; items entered after 9am will be ordered the following order day.

• Provide supplier name, item description, item number, price, and quantity - requests will not be processed until complete. Date released will be entered after the order has been approved and released by the BME accounting department.

• Catalogs are located next to the nanodrop machine; additional online resources

• If you unpack a received item, record it on the online order list.

Ordering Chemicals

• Shipping fees associated with chemical orders are very costly through Sigma, though often negligible through VWR and Fisher; order from VWR and Fisher when possible.

• The Baker Hall chemical stockroom, on central campus, has an online catalog http://www.chem.cornell.edu/kda1/stock/CatalogPage.html . Items are relatively inexpensive and can be picked up the same day.

Ordering From Bio-Rad, Invitrogen & Qiagen

• The Diagnostic Supply Center in the basement of Biotech is a distributor for Bio-Rad, Invitrogen, and Qiagen. In-stock items can be picked up the same day, special orders placed by 3pm (Mon-Thurs) can usually be picked up the following day. Additional information is located in the “Biotech Supply Center” folder with the vendor catalogs.

Checking the status of your order

• For items purchased with the PCard: call the vendor directly and give them the order information exactly as it is listed on the purchasing page (purchase order#, order#, reference#, etc.).

• For items not purchased with the PCard: call the Automated Procurement and Payment Systems(APPS) Helpline at (607)-254-5300. Tell them you need the purchase order number for department reference number e60 and the requisition reference number (Req#) that is listed on the purchasing page. Call the vendor directly and give them the purchase order number you received from APPS.
